Data for Service Provision

For our hosting services, we process data that you store on our servers, including files, databases, and emails. When registering domain names, we are obligated to provide your contact details (name, address, city) to the relevant domain registration authority. For the management of Microsoft 365 licenses, we process your company and user data that are necessary for license provision and account management.

Service Execution

Your data is primarily used for the execution of the agreement we have with you. This includes the delivery and maintenance of software, hosting, domains, and Microsoft 365 services.

Communication

We use your contact details to communicate with you about your services, invoices, technical updates, and support requests.

Legal Obligations

In certain situations, we are legally obligated to provide data, for example, in the context of a judicial order or a request from supervisory authorities.

Collaborations

To be able to provide our services, we share necessary data with carefully selected partners, such as hosting providers, domain registrars, and Microsoft. We have concluded data processing agreements with all partners who process personal data on our behalf to ensure the security and confidentiality of your data.

Commercial Use

Your data will never be shared with third parties for commercial purposes without your explicit consent, unless this is required by a legal obligation.

Storage Duration

We do not store your personal data longer than is strictly necessary to achieve the purposes for which we collect your data. For administrative data (such as invoices), we apply the statutory retention period of 7 years. For other data, we delete it as soon as it is no longer needed for the execution of our services.

Processing outside the EU

For certain services, such as Microsoft 365, personal data may be processed outside the European Economic Area (EEA). We always ensure that this transfer takes place on the basis of appropriate safeguards, such as the EU Standard Contractual Clauses or the EU-US Data Privacy Framework.

Use of Cookies

Our websites exclusively use functional and analytical cookies that do not infringe on your privacy. If we use tracking cookies that require consent, we will ask you beforehand via a cookie banner.

Our Measures

DevNoord takes the security of your data very seriously. We have taken appropriate technical and organizational measures to protect your personal data against loss, unauthorized access, misuse, and disclosure. This includes, among other things, secure connections (SSL/TLS), a strong password policy, and strict access controls to our systems.

Code and Content Generation

We use artificial intelligence (AI) to support our internal processes, for example, in generating code. Additionally, AI may be used for content generation, but only with the explicit consent of the customer.

No Automated Decision-Making

We do not use AI for automated decision-making or profiling that could have legal consequences for you or significantly affect you in a similar way.

As a data subject, you have the following rights: right to access your personal data, right to rectification or correction, right to erasure, right to restrict processing, right to object to processing, and right to data portability.

Exercising Rights

You can exercise these rights by contacting us. We will handle your request as soon as possible, and no later than within one month. If you have a complaint, you can file it with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
